Understanding the communications page
This video walks through the Communications page as a patient experiences it, covering how clinical messages are delivered, how patients respond, and how the conversation history is stored securely inside the Healthaide platform.
Key points
- Patient conversations appear on the left and direct messages on the right.
- Chat with patients in real time, with typing indicators and the ability to upload and attach files.
- Attached documents are stored in the conversation and saved to the patient's profile under documents.
- View all patient information on the right side of a conversation.
- Escalate a conversation to support when care is outside your license or state; this notifies the HealthAide team and opens a private team chat the patient cannot see.
- Mark an escalation complete to reset the Escalate to Support button for future use.
- Link a patient's prescription to the conversation to display its details, with visibility controlled in user permission settings.
- Use direct messages to chat with individual team members or create named group chats, replacing separate HIPAA-compliant messaging tools.

Now for one of the most important pages which is the communications page. This is where you're gonna communicate with your patients or your clients. You'll have inbound messages coming in here if you are a clinic, especially because you're gonna be serving your own patients.
You'll see starting out up top, we have patient conversations on the left, you have direct messages on the right.
Patient conversations, you can click on the patient conversation, and typically it will start like this, we have a patient here, conversation that's going on between us, the ability to upload and attach any documents or files and link them categorically to the patient profile.
If we did upload a document, it'll be stored down here in the documents section, and it'll be stored in the patient's profile with their conversation. So now you can see this document is stored. If I wanted to pull it up and take a look at what the document is, I can. Back and forth conversations here between you and the patient are real-time.
You will see these if I'm typing here, the patient will see an indicator that I am typing. You can also see all the patient's information on the right-hand side. Now, this conversation has been escalated to support. That means if a patient starts talking to you about something medical, clinical, pharmaceutical, and you're not licensed to provide patient care for that patient in that state, you can escalate to support, write to support what you need help with.
And this will trigger our team at HealthAide Medical Group to come in and assist you. It will also kick off a team chat on the right-hand side here. This is a space where our team can discuss offline what the patient needs assistance with, so that the patient doesn't see that. We can have our conversation on the side, and then our team can jump into the conversation and help you out.
As soon as we're done, we are able to mark this chat as complete, and this Escalate to Support state will turn back to a button that can be selected for you to re-escalate if needed. Additionally, if a patient is on a specific prescription and that prescription is shown here, it can be selected, and that prescription will have a bar that shows up here, and you can read the prescription details. If you don't need to see prescription details, if your team doesn't need to see prescription details, you can set those permissions in the users and permission settings when you invite the user to the account.
This is the communication section for patient conversations. Let's move over to direct messages next. In direct messages, we can select this plus button, and we can type in anybody on our team who we wanna have conversations with. We could add multiple users if we would like, and we can name the group if we add a group chat.
So this could be demo call group chat. I'm gonna create the group, right? Now I have demo call group chat. We now have a group message that this selected group of people can chat in. I can also do this with a single user and just have a single staff member conversation in the back end here that we carry out.
This is a feature that's continuously being iterated on. You can now replace any of your HIPAA-compliant messaging systems that you spend thousands of dollars on a year with the actual chat in the application.
So very useful tool, and we hope you enjoy it.
