SEO metadata for workflow links

Your Website and LinksVideoUpdated Aug 22, 2026·1 min

This update shows how to set custom SEO and sharing metadata on a workflow link: opening a workflow’s Settings via the gear icon, filling in the meta title, description, share photo, and alt text under SEO and Sharing Settings, and how that metadata then appears when the workflow link is shared.

Key points

  • Workflow links now support custom SEO and sharing metadata: the title, description, and image that appear when a link is shared in a text, social post, or search result.
  • This metadata controls your branding when links are shared and also serves as an SEO tool.
  • Find it under Workflows: click the gear icon on a workflow, choose Settings, and scroll to SEO and Sharing Settings.
  • Set a meta title (often your business name plus a tagline like "Number one telehealth in USA") and a description of 120 characters or less.
  • Upload a share photo (a 16:9 aspect ratio works best) and add descriptive alt text so the image is accessible to people using screen readers.
  • After saving, sharing the workflow link (grabbed from the links icon in Workflows) displays your custom title, description, and image.

Hey there, Kris with Healthaide. We've got a new update for you. This is the SEO and metadata update for workflows.

If you don't know what that is, you probably actually do — you just don't know what to call it. It's the image, the title, and the description that appear when you send a link to somebody. You may have copied a website link, texted it to someone, and then a title and image appear from that website. That is your metadata. It's not just used to show your branding when you send a link somewhere or post it on social media; it's also used for SEO as a tool. So I'm going to show you inside of workflows how you can set your own metadata for your own brand.

Remember, workflows are the links you send out to people so they can apply for care, or what's connected on your website that houses the intake process for a prospective patient. You'd go into Workflows in the clinic settings, then click the gear icon on the right.

Once I click the gear icon, I'll select Settings and scroll down to SEO and Sharing Settings. I've already uploaded information here for the sake of time. I put in my meta title. A meta title might be your business name, then one of those vertical bar symbols, and then something like "Number one telehealth in USA." That might be your SEO title.

Then you add a description of 120 characters or less. You can upload a photo, replace it, or remove it. I like to use a 16 wide by 9 tall aspect ratio photo here. And then you have your share photo alt text. Alt text is the text that describes the picture — think about somebody who is blind and can't see the photo; they need to know what is being sent to them. You'd say something like, "Blue vial on a desktop with a blue matte background, product shot." That's a good alt text description.

I'll save those changes. Now let me share my text messages with you. If I copy and paste this workflow link, this is what appears as my metadata — it has my description, "Number one telehealth in the US," and the image I uploaded. All I did was go into my workflows, click the links icon, and grab the all-products link, and that's the link I shared in the text message.

So that's the SEO metadata update — when you share links, your branding is seen through and through. Hope you guys like this update, and I'll catch you on the next one.
