Step-by-step instructions for building lead-source tracking links inside a workflow using URL Parameter Presets, exporting all workflow links as a CSV, and confirming the source appears in the dashboard’s lead source tracking.
Custom tracking links let you record where a lead came from — such as a Google search, an email campaign, or a specific Facebook ad — whenever someone applies for care or checks out. Previously this required building UTM parameters by hand; now you set them up as presets inside a workflow, publish, and export the links. This guide covers creating the presets, exporting the links, and confirming attribution in the dashboard.
Background — what a tracking link is
A tracking link is your normal workflow link with extra parameters added after a question mark, like intake.yourwebsite.com?utm_source=Google&utm_medium=email. Those parameters tell the system which source and campaign a lead came from. You no longer have to write them by hand — the presets build them for you.
Where to go
- Workflows (in your clinic settings)
Open URL Parameter Presets
01
Go to Workflows in your clinic settings.
02
To use an existing workflow, click its settings (gear) icon, choose Settings, and find URL Parameter Presets. To start fresh, create a new workflow and configure the presets there.
03
Give the workflow a clear name that reflects the campaign, for example "Christmas 2026 campaign."
Add a tracking preset
01
Go to the Campaign or Referral Links section.
02
Click to add a preset and give it a descriptive name, such as "Facebook Ad Set 1," so your team knows what it represents.
03
From the dropdown, choose the parameter you want to set: UTM source, medium, campaign, content, term, reference/tracking ID, or GCLID (Google Click ID).
04
Enter the value. For example, set the source to "Facebook Ads," or set source to "Facebook" and medium to "direct message" or "ads" to be more specific.
05
Add more parameters as needed. A reference or tracking ID is useful for attributing leads to a specific referral partner or influencer.
06
Save the workflow and publish it.
Export the links
01
After publishing, open the workflow's links.
02
Export all of the links as a CSV file.
03
Open the CSV to find every link with its tracking parameters attached — the all-products link, each category link, and every individual treatment link.
04
Share the relevant links with whoever needs them, such as your marketer or a referral partner.
Confirm attribution
01
Process a test intake or checkout through one of the tracking links.
02
Open the Dashboards page and scroll to the lead source tracking section at the bottom.
03
Confirm the source (for example, Facebook) now appears, and click into it to see the leads attributed to it.
Note
To analyze this data outside the portal, use the Dashboards export to pull financial and lead-source reports, including a per-source drill-down. See the report-export guide for details.
Tip
Name presets so a non-marketer can understand them at a glance. Consistent source and medium values (for example, always "Facebook Ads" rather than sometimes "FB") keep your lead source tracking clean and easy to compare.
