Custom tracking URLs and URL exporting

The CRM and MarketingVideoUpdated Aug 22, 2026·1 min

This update shows the new way to create custom tracking links inside a workflow: opening URL Parameter Presets from a workflow’s settings (or while creating a new workflow), adding a preset with UTM source, medium, campaign, tracking ID, or GCLID values, publishing, exporting all of the workflow’s links as a CSV, and seeing the source appear in the dashboard’s lead source tracking after a checkout.

Key points

  • You can now create custom tracking links (lead sources) directly in a workflow, without building UTM parameters by hand.
  • Lead sources record where a patient came from when they apply for care or check out — for example Google, email marketing, or a Facebook ad.
  • Set them up under a workflow: open an existing workflow via the settings icon > Settings > URL Parameter Presets, or configure them while creating a new workflow.
  • Add a preset (e.g. "Facebook Ad Set 1") and choose parameters from a dropdown: UTM source, medium, campaign, content, term, reference/tracking ID, or GCLID (Google Click ID).
  • A tracking or reference ID is useful for attributing leads to a specific referral partner or influencer.
  • After publishing, you can export all of the workflow’s links as a CSV — including the all-products link, category links, and every individual treatment link — to hand to your marketer or partner.
  • Once a checkout comes through a link, the source appears in the dashboard’s lead source tracking, where you can drill in to see all leads from that source.

Hey everybody, Kris with Healthaide here. We have a really exciting feature to announce that's going to be useful to everybody we work with: the ability to create custom links more easily than you could before. We had this before, but it used what we call URL and UTM parameters, which you had to set up manually.

A lot of marketers know what this is, but a lot of folks who are just business people don't. So we made it really easy for you to create custom links that track lead sources — meaning where somebody came from when they check out or apply for care. Let's get into how to create custom links and how you can use them.

First, we're going to go into Workflows. You'll see a workflow we built for you, or maybe workflows you've built in the past. You can take any of your existing workflows and use those, or you can create a new one.

Let me show you what this used to look like. There's something called UTM or URL parameters that would track using your intake workflow. So this might say intake.yourwebsite.com, and then there's a question mark, and after it something like "utm_source=Google, utm_medium=email." That's how our system can track whether a lead came from Google or from an email marketing campaign — and you used to have to configure this by hand.

Now, all you need to do is go into an existing workflow by clicking the settings icon, going to Settings, and you'll see URL Parameter Presets. Or you can create a new workflow and do it from there. Let's say this workflow is called the Christmas 2026 campaign.

Now I'll go down to Campaign or Referral Links, and I'm going to add a preset. I'll call it Facebook Ad Set 1. A lot of the marketing companies or marketers on your team will know exactly what this is — it's used very commonly in marketing. This is a Christmas 2026 campaign going out on Meta, specifically Facebook, and these links are related to ad set number one. Maybe you have a collection of ads running in ad set one, and you'd use these links for that.

From a dropdown you can select UTM source, medium, campaign, content, term, reference tracking ID, or GCLID (a Google Click ID). I'll go with source and call it "Facebook Ads" — I'll say Facebook Ads instead of just Facebook, because maybe you have something like ManyChat connected to Facebook and it might be a Facebook direct message. In that case I'd call the source Facebook, and this would be a good use case for medium: I might say the medium is "direct message," or a medium of "ads" since this is an ad.

I can keep going. Maybe I have a reference ID or tracking ID — say you have a strategic business partner or someone with a large following and you want to track whether they sent you leads or referrals. You could use a specific tracking ID or referral ID linked to that person.

Once you've set all that up, you can create the workflow and publish it. Now you can get your links here, and you can export all of them. If I export all these links as a CSV file and open it, I have all of these links stored with their UTM medium of ads and UTM source of Facebook. One of these is the all-products link. Others cover the categories — say categories three through ten — and I also have all the individual items, so every individual treatment somebody can apply for.

Let's say I did an intake through one of these links. In the dashboard, if I scroll to the bottom, you'd now see Facebook appear in the lead source tracking section. I could jump into Facebook and see all of the Facebook leads I have.

So this is the way to make custom links, extract them, and hand them to whoever needs them — like the marketing person on your team, or someone you've connected with who refers people to you — in order to track where these patients or leads are coming from. Really helpful tool. I hope everybody loves it. Get familiar with it, use it, process a checkout through it, and you'll see the use case. Good job, team.
