Create and manage a clinic task

Step-by-step instructions for creating a task with an attachment, assignee, priority, patient, and due date, plus how overdue notifications work and how to complete, reopen, or delete a task.

Tasks let your clinic team assign, track, and complete work inside the portal. Each task can carry a description, an image attachment, a related patient, a priority, an assignee, and a due date. This guide covers creating a task, what happens once it exists, and how tasks are completed.

  • Tasks (left-hand navigation in your clinic portal)

Create a task

  1. Open the Tasks page from the left-hand navigation.
  2. Click to create a new task.
  3. Enter a Task Name.
  4. Enter a Task Description with the details the assignee needs.
  5. Optionally attach a photo. Any user on the task can view and download it later, so it works well for thumbnails, screenshots, or reference images.
  6. Optionally select the patient this task applies to.
  7. Optionally set a Priority level.
  8. Assign the task to a specific person.
  9. Set the date the task is due by.
  10. Click Create to save the task.

Working with a task

  • Each task card shows who created it, who it is assigned to, and the description.
  • If a description is long, use the dropdown on the task to expand and read the full text.
  • Any user can view and download an attached image from the task.
  • You can switch between the card view and a list format, whichever you prefer.

How overdue tasks work

  • If a task passes its due date, the assignee receives a notification.
  • That notification repeats every day until the task is resolved.
  • The loop stops when the task's creator edits or deletes the task, or when the assignee marks it complete.

Complete or reopen a task

  1. When the work is done, mark the task as complete. It moves to the Completed section.
  2. From Completed, you can delete the task if you no longer need it.
  3. If it turns out the task was not actually finished, mark it as pending again to reopen it.

Note

You can also change a task's status directly from the list view by toggling it between pending and done, without opening the task.
