Create a source link in Healthaide, select the right outbound event, inspect a HighLevel inbound webhook sample, map fields, and verify a test contact.
Use this guide if you need a specific campaign, partner, or referral ID in HighLevel. A Healthaide-provided CRM may already receive standard checkout events; check what is already connected before changing it.

In Healthaide, open Workflows > workflow Settings > URL Parameter Presets. Add a clearly named source or campaign and a reference/tracking ID where needed; save and publish, then export and use that link. See “Create custom tracking URLs for lead sources.”

Choose the event at which the contact should be created or updated. Healthaide Workflows cover website intake, with Landing and Submit events for checkout steps. Location settings cover portal marketplace checkouts. Check existing connections with your onboarding contact before replacing a webhook URL.

In HighLevel, open Automation > Workflows and create or edit a workflow with an Inbound Webhook trigger. Copy its unique URL. Place it on the chosen Healthaide event if this is a new connection. Send a representative test through the tracking link and use Test Trigger in HighLevel to capture sample data. HighLevel expects a JSON object for its inbound trigger and requires an email or phone to find or create a contact; verify that the actual Healthaide event supplies the fields you need. Do not invent payload field names.

In HighLevel, create suitable contact custom fields for any source, campaign, or reference ID you need to retain. Use the sample's actual keys to map inbound values in the workflow's contact action or field update. If a desired value is absent, stop and ask Healthaide support whether the chosen event exposes it; do not infer it from a discount code or URL alone. If the payload structure changes, capture a new mapping reference.

Save and publish the HighLevel workflow. Run a new test from the intended link and verify the contact's source and referral ID, including repeat visits or updates. Compare with Healthaide Dashboards > lead source tracking and its PHI-redacted per-source export.
Privacy and billing: inspect the real webhook payload and receiving account before sharing patient data. The export's PHI redaction applies to the export, not automatically to webhooks. HighLevel Inbound Webhook workflows may be premium executions; check the current account settings and charges. Do not use CRM contact creation alone as proof of a completed sale or settled payment.
